This tutorial will show you how to delete an account.

Before you can delete an account, all items must be unavailable and all transactions closed/paid out on. If you try to delete an account that has open transactions and/or available items, you will see a message similar to the following:

You can use the multiple post feature to mark all of an account's item's unavailable.

Go to Activities >> Inventory >> Post Items...

Then click the Multiple Items tab:

For our purposes, we will mark all of this particular account's item's as returned. We will set the Account fields, both From and To, to the account we would like to delete. In my example, it is account number 20.

Since I do not want to narrow down my search anymore, I will leave the Filter Code and Price Code boxes blank. Make sure the Received on or before field is today's date.

My final options look like this:

You then click the Select Items button, which will then list all available items on the right hand side, ready to be posted. Once the list is done populating, click the Finish button in the top right corner.

Once you click finish, it will then mark all those items as returned and bring you back to whatever screen you were at before. Open up the account you want to delete, go to the Inventory tab, and refresh. All items should now be unavailable.

The last step now is to balance out their account. You can do a payout and pay the client any money that is owed.

Or, if you know they have already been paid; you can deduct whatever is owed to the customer (Total Owed) and the reconcile the transactions.

In the following screenshot, you can see that I owe this customer $15 still.

So I will Deduct the $15 to zero out the account.

Now click Reconcile Transactions, then click Yes to close out those transactions.

We can now delete the account; Task >> Maintenance >> Delete Account

The account will now be gone from the Inventory Module. It will still exist in the database though until the next time you run the purge routine. Once that is done, it will be completely erased from the database.

No, once you mark it as deleted; it cannot be undone.
