View Full Version : What Is the Difference Between "Deactivating" and "Deleting" An Account?

A customer writes...

<i>What is the difference between deleting accounts and deactivating accounts? If we deactivate an account, can we use that account number again.</i>

The "De-activate Account feature "hides" the account from many of the screens/functions within Liberty.

For example, in the Account List, one could show "Active Accounts Only"...

If one checks that option, the account would no longer appear in your list. We also have a feature under Tools > Options that allows you to include/exclude inactive accounts from receiving a payout...

Deleting an account is just what it sounds like - it literally deletes the account. Before deleting an account though, all items must be marked as "Unavailable" and all transactions must be closed/paid out. Think about this from the "real-world" side of things for a second - it's bad juju to just go in and delete accounts, items, payouts, etc. Where the heck did the info go!? These are REAL people with REAL items and REAL money. If you try to delete an account before closing all items and transactions, the following prompt will appear...

Use Activities > Inventory > Post Items to mark the account's items as "Unavailable" and use the Transactions tab within their account to "Pay Client" or "Reconcile" the account.

Once those two steps have been completed, you can delete the account in question. From this point forward, you will no longer see the account. The data is STILL IN THE DATABASE though and won't be removed until the next running of the Purge Utility (Start > Programs > Liberty4 Consignment > Purge Utility). The purge will clean up the data and truly remove it from the database.

Liberty,
What should the settings be to free space associated with having deleted accounts? We have a block of accounts that are no longer used.
I assume everything is unchecked, i.e., "Sales, Payouts, "Do not purge records not yet exported to Quickbooks", except to keep compressing until done. WHAT SHOULD I PUT FOR THE DATE --- does it matter?

Sales - UNCHECKED
Payouts - UNCHECKED
Do Not Purge Unexported Quickbooks Records - Check
Run until Compression Completes - Check
Purge Records Before - 1/1/1900
