Liberty4 comes with its own, stand-alone Purge Utility...

This can be found/launched under Start > Programs > Liberty4. As you can see, the utility is really very basic. It provides the following options:

- Purge Sales
- Purge Payouts
- Do not purge unexported QuickBooks records
- Run until compression complete
- Purge records before

This is not a "pruning" utility, so it helps to look at the utility for what it was designed for - to reduce the size of your database. Since MS SQL Server MSDE has a database capacity of 2 GB, customers that have been running Liberty for years, will eventually hit a "limit" when entering data. Purging can help remove old records, thus reducing the size of the database.

Since sales take up the most space in the database, the purge is a sales-based purge. When a sale is removed, with it must go the transactions and items associated with the sale(s). Thus, this purge inevitably removes items and client transactions as well. Payouts can be removed as well or skipped.

The QuickBooks option allows one to suppress deletion of records that have yet to be exported to QB. If this option is greyed out, it is because your database does not contain any records that match this type - e.g. older Liberty 2002 databases.

The "Run Until Compression Completes" option is a MUST have! Once the data has been removed, the data file is sort of "saggy." Compressing the data allows the database management system to shuffle all of the data to the beginning of the file and then truncate the end of the file, leaving no remaining blank space.
